The Executive Assistant will assist members of the Executive team. 


  • Pro-actively manage the agenda, mail, email, and calls (screen and resolve calendar conflicts, filtering requests, prioritize importance)
  • Organize and coordinate business meetings
  • Coordinate all travel arrangements and meetings held outside of the office (itineraries, flights, hotels, transportation, etc.)
  • Management and follow-up of different files
  • Treatment of confidential information and documents
  • Manage timesheets and expense reports
  • Assist with the preparation of new business and pitching materials
  • Put decks together for Partners
  • Ensure completion of special projects
  • Prepare meeting agenda, take notes and distribute minutes afterwards
  • Assist with the organization and set up of internal events

  • 2-3 years of Executive Assistant experience
  • Experience working in a creative shop or advertising agency is nice to have
  • Computer skills (including Microsoft Word, Excel, Outlook, internet)
  • Fluent in English, both oral and written. French an asset
  • Able to prepare PowerPoint and Keynote presentations
